Over the past two months, we've made procurement on Workwize faster, clearer and more reliable. Every change below is live today, and most of them need nothing from your team to start working.

Six procurement upgrades on Workwize: faster ordering, one global catalog, one-click alternatives, clearer availability, Apple distribution and decommissioning

    Faster, more reliable ordering

Since 11 September, we've strengthened our supplier integrations and added new suppliers that process orders faster. US deliveries now average around four days, and suppliers confirm orders much sooner than before.

Orders in top regions now benefit from the same new integrations, including the EU, US, and UK. Suppliers without a direct integration benefit too.

We've improved how we work with them, including better tooling for managing their catalog, alternative suggestions, tracking, and ETAs. Together, these changes make global IT procurement on Workwize quicker from the moment you place an order.

    A stronger, global catalog

Catalog integrations are now live across the US, Canada, the UK and the EU, and in Canada they include suppliers of high-performance IT equipment.

We've also prioritized the best-performing suppliers in each region and removed poor-quality ones, improving speed, pricing, and the range of products on offer. We're also cleaning up the catalog to ensure we carry the right products.

Most importantly, we've moved to a single global catalog and retired custom catalogs. Between 20 and 22 October, we moved supplier products from custom catalogs to All Products, with live pricing and supplier rules. Custom catalog pages now show warehouse stock only, and every country is in the default catalog for every client.

That means every customer benefits from the same product data, supplier performance, pricing and availability improvements whenever we make them. You can read more about how we source devices on our IT procurement page.

The Workwize global catalog is live in the United States, Canada, the United Kingdom and the European Union

    Alternatives in one click

When a supplier changes the price or ETA of an item, or suggests an in-stock alternative, the request now lands in Approvals under Alternative suggestions.

    • You see the original item and the proposal side by side, including the price difference as a percentage or the days added to the ETA.
    • You accept or reject the proposal in one click.
    • Two tabs show what needs your decision and the full history, and admins also receive an email.

Illustrative example of an alternative suggestion in Workwize Approvals: an in-stock laptop that costs 4% more but arrives 11 days sooner than the backordered original

This works wherever suppliers propose changes through our Supplier Portal, and we're still rolling it out to more suppliers. Next, we're adding alternative preferences, so we can offer the best option for your current hardware environment.

    A better ordering experience

Since 22 October, the most-ordered and most relevant products appear first in the shop for all clients. The in-stock filter is on by default, so out-of-stock items stay out of your list unless you choose to see them.

Enrollment status for Apple Business (formerly Apple Business Manager) and Windows Autopilot is also clearer now, so you can see at a glance which devices will set themselves up on first boot. That makes zero-touch IT deployment easier to plan for every new hire.

Clearer stock levels, backorders and build-to-order items

We're making it easier to see exactly what you're ordering. Build-to-order (CTO) items and backordered items are now clearly marked on the product, so you know what to expect before you place an order.

Since 23 October, backorders also appear on your orders with a dedicated backorder status, and some models can be ordered on backorder directly from the shop. This is a major change to how ordering works, and it gives you a much clearer picture of availability and timing from the moment you order. Combined with IT inventory management on the platform, it helps you plan stock for upcoming hires with fewer surprises.

    Apple partnerships

In Europe, Apple orders now route through Apple's authorized distributors, which brings better pricing and faster delivery. Workwize is an Apple Business Partner in the Netherlands, and as our Apple partnerships grow, we expect them to unlock stronger pricing for our customers.

Decommissioning, end to end on the platform

Global IT asset decommissioning has been live for all clients since 9 September and now runs fully on the platform:

    • Request it in a few clicks from Asset Management.
    • A partner is selected for you automatically.
    • Approve the estimate in Approvals.
    • Download a data erasure or destruction certificate for each device.

Decommissioning on Workwize in four steps: request, partner selection, estimate approval and a certificate per device

Devices can be resold to recover their remaining value, with a data erasure certificate as proof that no company data went with them, or sent for certified IT asset disposal. Because every request starts from your asset records, decommissioning also keeps IT asset management accurate as devices leave the business. We've also launched Asset Archive, so lost or gifted devices can leave operations while their full history stays in your IT asset tracking records.

    What's next

Over the coming months, expect a wider catalog, clearer labels for build-to-order items, saved preferences for which alternatives you accept, and track and trace for Canadian orders. We're also redesigning the shopping experience, which will make it easier to find what you need. We'll keep sharing progress as each update lands.
